Description

Position Overview
This new position is aimed at focusing EXO’s policies and actions towards groups whether ad-hoc or series and have people specialise on the different requirements for group travel as opposed to FIT clients. This goes from itineraries, to the choice of tour stops, restaurants, hotels and other services.

Responsibilities
General:
• Develop this new area of focus for EXO on all markets
• Create interesting and unique itineraries including detailed programs and price proposals; providing information on travel in destination and advising on suitable options.
• Negotiate best possible rates for group itineraries
• Secure room allotments and availability for ad-hoc and SIC groups
• Create, develop and maintain good relationships with existing and new customers (agents, corporate clients)
• Liaise with EXO - Sales Offices when and where needed
• Keep oneself informed and updated of all operational aspects related to task.
• Solve problems fast and efficiently
• Follow policy & procedures and consulting guidelines
• Communicate to Ops Team to help provide the best customer service on the ground
• Establish working relation with guides in order to be able to brief them when needed

Quality and Reporting:
• Input and Control the information in the Tourplan software.
• Report all sales in Tourplan software as well as sales report.
• Assist accounting department in regard to payment matters and follow up with client on invoice, credit note, refund, payment, receipt.
• Alert supervising Manager or accounting department in case of non-payment

Administration and Supervising:
• Keep good communication with all EXO team members and a supportive working relationship
• Assist Inbound Manager when needed in order to achieve the overall sales objectives.
• Manage the volume of activity by distributing the daily work to team (if available).
• Make sure all team members (if available) adhere to company policies and procedures.
• Coaching and training newcomers.
• Identify the training needs and supervise the implementation of training plan

Expected Results
• Develop this market niche to achieve significant growth of existing sales and develop a new customer base
• Take responsibility for delivery and ensure all services are operated and delivered in expected time and quality.


Qualifications

• Bachelor’s Degree or higher in Hospitality, Tourism, or other related field
• Good command of spoken and written English ,French and Japanese is a must
• A minimum 3 years’ experience in a similar role; Experience in Tourism field is a must

SKILLS:

• Hands-on experience, with the ability to work as part of a team
• Excellent sales and negotiation skills
• High degree of customer service with an eye for detail and presentation
• Strong organizational skills, ability to work under pressure and prioritizing tasks
• Ability to develop good communication with the suppliers and the team
• Strong leadership skills with the ability to motivate and train staffs
• Good computer literacy (MS Office; Travel related software)
