Advancement Database Specialist – Job Description

Reports to: Director of Advancement

Overall responsibilities:

Process, reconcile transmit and track donations and pledges in the Advancement database (Raiser’s Edge).

Maintain Raiser’s Edge database records for alumni, alumni parents, faculty and friends.

Act as “gatekeeper” for NetCommunity (content management system and online gift interface) and process associated online registrations, event registrations, online gifts and profile updates.


Key areas of responsibility:
Establish and maintain donor acknowledgement processes for Advancement and PTA, contacting donors as needed to confirm donation and mailing information.

Develop policies and procedures to ensure clean data input and regular data validation in Raiser’s Edge. Schedule and conduct data audits to identify and fix errors.

Coordinate with relevant staff in other school offices to ensure compliance with school-wide data management practices.

Create queries, exports, mailing lists and reports as requested by Advancement, Head of School’s Office, Admissions, Board of Directors, Board of Trustees and PTA.

Track giving data and provide analytical reports for the Board of Director’s Advancement Committee and Director of Advancement.

Work with Advancement Office staff to identify and respond to their data reporting and fundraising analysis needs. Participate in discussions related to annual giving, major giving, admissions and volunteer programs.

Conduct donor research as requested by Director of Advancement to identify prospects for fundraising outreach.

Develop processes for event and credit card transactions in yen, and event credit card transactions in dollars, in consultation with Director of Advancement and Director of Technology.

Coordinate the ordering, receiving, maintenance of supplies and equipment for Advancement; follow purchasing policies and procedures.

Assist in planning and executing events for Advancement Office and PTA.

Collect and sort mail for the Advancement Office.

Other duties as assigned by the Director of Advancement, Director of Communications, or Director of Technology.
