Requirements

  • English: Business level (preferred)
  • Japanese: Conversational (preferred)
  • Office administrative experience, preferably in an international organisation is desirable. Demonstrated experience in managing and/or assisting with high level visits.
  • High level written and verbal communication skills in English and Japanese.
  • Flexibility, efficient time management and ability to handle multiple tasks concurrently.
  • Sound computer skills in a range of software (particularly Microsoft Word and Excel and OneNote)
  • Japanese driver’s licence is highly desirable
  • Visa sponsorship available

Description

About the Position
At the Australian Embassy in Tokyo, Under the general direction of the Assistant Defence Attache, this position is responsible for providing administrative and logistical planning assistance to all staff in the Office of Australian Defence Staff - Tokyo, and other Defence personnel deployed in Japan.

This role requires a very flexible person who is a committed member of the team and is able to prioritise effectively at short notice.

The key responsibilities of the position include, but are not limited to:

•Manage and coordinate logistical assistance during ministerial and other high-level visits,
including preparation of visit programs, accommodation and transport arrangements, airport
facilitation and meeting requests.
• Manage and lead priority visits and provide direct (logistical) support to delegation members
• Liaise directly with key contacts from visiting delegations and Japanese counterparts to arrange
meetings and schedules for visits
• Develop, maintain, and strengthen productive networks and relationships with key stakeholders
including Japanese officials, government agencies and service providers to produce positive
outcomes for the Australian Government during high-level visits.
• Develop, collate and disseminate documents and briefing packs
• Develop and respond to a range of correspondence to Japanese agencies
• Assist the Defence Administration Coordinator in surge periods with events and travel
coordination including managing the delivery of multiple concurrent events, coordinating
stakeholders, speakers and other logistical arrangements such as guest lists, catering,
entertainment and technical support.
• Provide logistical support for meetings/office calls, seminars and functions
• Support the Defence Attaché and other A-based staff during visits/engagement activities, with
tasks such as maintaining contact with key host-nation support staff, and adjusting program
timings or logistical arrangements if required
• Provide linguistic support internally and externally for the coordination of visits, functions,
informal meetings, phone calls and other support as directed
• Perform other duties and back up support as required
