Requirements

  • English: Business level (preferred)
  • Japanese: Business level (preferred)
  • Proven experience in general financial management. High-level English and Japanese written and verbal communication skills.
  • Flexibility, efficient time management and the ability to prioritise and handle multiple tasks concurrently.
  • Well-developed interpersonal skills and a demonstrated ability to work effectively in a fluid team environment.
  • Proficiency in Microsoft Office software, including Word and Excel, and the ability to use computerised/electronic file and information management systems.
  • Previous office management experience, preferably in an international organisation, is desirable.
  • Visa sponsorship available

Description

About the Position
Under the general direction of the Defence Office Manager, provide financial and administrative support to all staff in the Office of the Australian Defence Staff Tokyo, and other Defence personnel deployed in Japan.

The key responsibilities of the position include, but are not limited to:

• Perform financial processes for Defence personnel in accordance with departmental guidelines and financial regulations including processing invoices, reimbursement requests, vendor records and other claims using SAP.

• Assist with monthly financial reporting and undertake monthly corporate credit card reconciliations.

• Contribute to financial audits including budget bids, monitor the monthly budget and provide regular budget reporting to the Defence Office Manager.

• Monitor the Movement Requisition Register, ensure all travel is acquitted in a timely manner and all travel documents are filed appropriately.

• Manage and respond to routine enquiries regarding general financial issues.

• Draft, dispatch and receive facsimiles, electronic mail, letters and diplomatic notes.

• Establish, develop and maintain strong working relationships with a range of key internal and external stakeholders including with Embassy staff, vendors and Japanese Ministries on administrative and accounts related matters.

• Escort Defence visitors and service providers in the Chancery.

• Maintain office equipment, and report faults and arrange servicing if required, and order stationery and office supplies.

• Maintain electronic and paper based records including financial transactions, and update asset lists, subscription lists, gift registries and in-country registries in accordance with departmental guidelines. Perform other duties and back up as required.
