Description

1. Job Description

◆Scheduling
Build and maintain CEO’s schedule not only by CEO’s instructions but also from the internal/external correspondence which could be in English or Japanese, or sometimes French. (The schedule should include not only meetings and visits, but also the time to be spent on a patent case or on more general matter.)

◆Job Management
Recognize all the jobs CEO is supposed to do with their importance, the time necessary to finish it and the time limits. Discussions with CEO is often necessary to determine them. (It is important to know by reading communication or from conversation that a new job for CEO is generated.)

◆Communication Review
Read through all the communication CEO is involved in order to recognize all the jobs for CEO and determine the schedule on that basis.

◆Correspondence
Draft email at CEO’s request from time to time. Sometime send a reply in the secretary’s own name in the place of CEO When he is absent.

◆Business Trip Assistance
Many kinds of travel agent type work in cooperation with other departments in connection with CEO’s business trips, the work including, although not limited to, purchase of flight tickets, reservation of hotels, making of detailed trip schedule, copying of related documents, etc.

◆Transcription
Transcribe the discussions of the meetings CEO attends.

◆Others
Help the works of one of other departments in the spare time from secretary job; International Affairs Department, Translation, Administration (HR/GA, Accountings) or other departments according to his/her nature, capability and want.

2. Requirements

◇Language
Ideally fluent in both English and Japanese, in speaking and writing.
The ability to write correct business mail in English will be highly appreciated.
(English: native or fluent Japanese: N2 or above is preferred)

◇Computer Software
MS Word and Excel: intermediate or above.

◇Full time/part time
A full-time worker is desirable although negotiable if a candidate is strong in other aspects.

◇Work experience
Over 3 years of office work experience
Experience as a secretary is preferred
