Position: Communications and Admissions Assistant

【About Marketing & Communications Department: 】
The Marketing and Communications Department at TIS is responsible for marketing, student admissions, student data, social media, and publications. Publications range from the school website to handbooks and policies, newsletters, and all other communication sources and outlets.
【Communications and Admissions Assistant Overview:】
Support and operate as the marketing, communications and admissions teams. Under the general supervision of bot Marketing and Admissions Supervisor, assists in carrying out the functions of the Marketing Communication and Admissions Office.
【Communications and Admissions Assistant Responsibilities:】
1)Responds to written, telephone and personal inquiries for information regarding admission policies, regulations, procedures and deadlines.
2)Provides information to and assists regarding policies, regulations, procedures and criteria.
3)Approximately 50% of the day to day responsibilities of this position are working closely with the Admissions Supervisor in the student admissions process and the other 50% would be working with Marketing Communication Supervisor in helping internal and external marketing communications.
4)Drafting and editing communications copy and material.
5)Helping to implement internal and external communications strategies and projects.
6)Providing administrative support to internal teams.
7)Preparing presentations and reports.
8)Organizing marketing and networking events.
9)Understand TIS branding and qualities and operates under TIS guidelines.
10)Be available to be on site if help is needed or in case of emergency.
11)Become familiar with all Student Information Systems Platforms being used by the school.
【Communications and Admissions Assistant Job Duties:】
1)Work closely with the Marketing Coordinator on internal and external publications.
2)Processes, edits and distributes acceptance and denial letters and notifies academic departments of action taken.
3)Assist in Providing school tour to prospective families, process inquiries and or applications through the database
4)Work closely with the Student Registrar to ensure student data is accurate
5)Update competitor information annually.
6)Ensure all publications are updated and accurate liaising and delegating to all staff as necessary (proofread communications to ensure accuracy)
7)Work hand-in-hand with Marketing Coordinator in updating website and content marketing (blog, social media assets, and more).
8)Interview teachers and other department staff on collecting annual accomplishments to update Annual Reports and other marketing materials.
9)Assist Marketing Coordinator and Admissions Supervisor in reporting the data on monthly basis to DO and HoS.
10)Visit Embassy and Companies occasionally to promote the school with the Admissions Supervisor.
11)Respond to email and calls at all times when action is needed.
12)Liaise with the Administrative Assistant to put important dates on the calendar
13)Always stand-by to cover your staff or other departments if help is needed
【Communications and Admissions Assistant Skills and Qualifications:】
Communication Processes, Reporting skills, IT Proficiency (needs to be tech savvy in using Student Information System, Word Press, and/or other online medias and tools), Listening, Verbal Communication, Energy Level, Teamwork, People Skills, Documentation Skills, Organization
【Working hours and location】
Mon – Fri, 8:30 - 17:30 (1 hour lunch break)
Minato ward, Tokyo.
Shirokane Takanawa Station on the Namboku Line/Mita Line Exit 4 (7mins)
salary： ¥300,000 per month
* Salary will be decided to take into account past work experiences and ability
* Transportation allowance is provided
・10paid days of leave/year (after 6 months of employment, not including the first 3 months probation period)
・work related commuting costs, health insurance, labor insurance, visa sponsorship, and renewal support
