Description

Founded in 2009, The International Academic Forum (IAFOR) is a politically independent non-partisan and non-profit interdisciplinary think tank, conference organiser and publisher. Based in Japan, its main administrative office is in Nagoya, and its research centre is in the Osaka School of International Public Policy (OSIPP), a graduate school of Osaka University. IAFOR runs research programs and events in Asia, Europe and North America in partnership with universities and scholarly associations

We are currently looking for a Conference and Events Coordinator to assist with the administration of all our online events and in-person events.

The ideal candidate should be well organised and possess excellent communication and interpersonal skills, be methodical, accurate and have an eye for detail, along with excellent IT skills.
The candidate will be interested in working in a challenging international environment, with a strong opportunity for professional development and internal promotion.
There will also be opportunities for domestic and international travel.

Place of Work: Head Office, Fushimi, Nagoya.
Some domestic and international travel is required (5-10 times a year).
Head Office: Nagoya Fushimi (7-minute walk from Fushimi Subway Station).
Duration of Contract: 1 year, renewable by mutual consent
Remote work may be available from time to time

DUTIES
• Manage and coordinate in-person conferences and a select range of online symposiums throughout the event lifecycle (e.g. call-for-papers, liaising with venues, program development, speaker management, event marketing, and post-event management)
• Confidently moderate or produce online webinars and meetings using Zoom
• Recruitment and training of local event staff and event volunteers
• Coordinate all logistics of domestic and international events
• Assist with the promotion of conferences and events
• Other responsibilities to be defined by and in consultation with the Director of Operations

SKILLS
• High level of organisational skills
• Proficient with Microsoft Word, spreadsheets, and PowerPoint
• Clear and concise written and verbal English communication skills
• Japanese ability is not a prerequisite for the position but is advantageous
• Previous experience in customer service or event management is not a prerequisite for the position but is advantageous
• Excellent customer service skills
• Excellent problem-solving skills
• Strong task and time management skills
• A keen eye for detail and accuracy
• Ability to work well within a team
• Friendly and approachable

WORKING CONDITIONS
Working days: weekdays 09:30-16:30 (Lunch break 1 hour)
Flexible work hours and remote work may be available from time to time.
Days Off: In general, Saturday and Sunday. Some weekend and holiday work will be required for events; substitute holidays will be given in return
Paid Vacation Leave: From 15 paid vacation days a year
Salary: 250,000 - 275,000 JPY/month (Negotiable)

INTERVIEW
Selected candidates will be invited to interview on Zoom, with a final interview in person at the Nagoya office. Interviews will be undertaken in English.
