Requirements

  • English: Fluent (preferred)
  • Japanese: Fluent (preferred)
  • Organisational skills/experience in logistics, and capacity to handle multiple tasks and prioritise effectively are essential. Sound judgment and proven risk management ability.
  • Well-developed interpersonal and negotiation skills including the capability to attract sponsorship, and build strong relations with key stakeholders.
  • Ability to coordinate productive team relationships and facilitate open communications with colleagues.
  • Management skills necessary to undertake the allocation and monitoring of human and financial resources, and to contribute to the development of events corporate strategy.
  • High level oral fluency and written proficiency in English and Japanese. Proven success in event management and co-ordination is desirable.

Description

About the Position
Under limited direction of the Counsellor (Management), organise major representational events and frequent promotional functions at the Australian Embassy in Tokyo. Negotiate with and support external clients, sponsors and partner organisations, manage event booking requests and provide advice and coordination. Work flexible hours to support evening and weekend events.

The key responsibilities of the position include, but are not limited to:

• Plan and co-ordinate all aspects of major events including: relationship management with clients; strategy and scheduling; overseeing guest lists; assessing marketing and staff requirements; arranging catering, logistics and venue set-up; managing risks with contingency planning (wet weather, high profile guests).

• Organise the Embassy’s principal representational function - the annual national day event - which requires complex coordination of both internal and external stakeholder over a long lead time. Attract and negotiate sponsorship packages with diverse sponsors, and manage cost recovery. Prepare pre-event financial estimates’ planning, manage catering contract and staffing rosters.

• Work with the Embassy’s Public Diplomacy Section in planning and delivering related activities.

• Maintain strong relationships with contractors involved in events and ensure they adhere to the Embassy’s Work Health and Safety requirements.

• Continuous analysis of feedback on major events, leading to creative recommendations for policy changes and future event planning.
