Description

Student Activities Coordinator - Office of Student Services (OSS)
Report to: Manager, Office of Student Services
Contract: Mid-March 2015-April 31, 2016
(Fixed-term contract for staff on maternity and child care leave)
Work hours: 5 days a week, 09:00 to 17:30, some weekends or nights to attend trips (substitute holiday to compensate)

Visa Requirement:

This position is available only to applicants who have a valid working visa in Japan (the position does not include visa sponsorship).

Salary & Benefits:

Commensurate with experience. Annual holidays, Japanese social insurance and pension, commuting allowance, and tuition benefits for Temple University, Japan Campus (TUJ) programs.

Overview of position:

The Student Activities Coordinator candidate will support all aspects of university student life. The Student Activities Coordinator will also work as an OSS team member and assist with student orientations and general office functions.

Primary Responsibilities:

Primarily responsible for the following tasks:

Work with activities assistant in planning and developing student activities and trips for each semester
• Update Facebook/website (local event postings/upload photos/update events using WordPress) registrations (create online registration forms/update forms/cash collection/data input for waivers)
• Activity/event promotion (Japanese e-mail blasts/send emails and posters to universities, etc. to target non-TUJ participants)
• Activity-related research (accommodations/make phone calls/get quotes/tour details/negotiate discounts)
• Activity coordination and execution of event/activity (bus companies/hotels/book tickets/make reservations/accounting-related paperwork)
• Create activity schedules/information e-mails/chaperone activities)
• External communication (contact point for external vendors/workshop providers)

Student Organizations Coordinator

• Handle student club sign-up/renewals, discuss with them semester plans and budget requests, and act as member of budget allocation committee
• Assist in securing practice facilities, coordinate with club leaders for Minato-related facilities
• Contact other universities for practice matches
• Update information on website

OSS Staff Duties

• Assist students with all non-academic matters, support at student orientations, and OSS front counter shift to handle walk-in inquiries

Qualifications & Experience:

• Native or near-native Japanese speaker and strong English language skills
• Outstanding organizational skills
• Outstanding communication and social skills
• Experience in studying/living in Japan
• Excellent PC skills (Word / Excel / Gmail /PowerPoint / WordPress
• Professional appearance, a good team worker, and an excellent attitude
• Preferably a U.S. university graduate or familiar with study in the U.S.
