Job Description:
Wells International Preschool is actively seeking a responsible, organized, and detail-oriented Administrative/Operations Assistant to support the administrative and operational needs of our school. This role is essential for ensuring smooth and effective school operations, directly enhancing the educational experience for all. In partnership with and under direction from the Head of School, the Administrative/Operations Assistant will manage day-to-day operations including resource procurement, coordinate with cleaning and kitchen staff, and maintain school facilities. The role involves handling communications with parents to keep them informed and engaged with the school's activities and their children's progress. Additionally, the assistant will support marketing efforts to boost the school's visibility and attract new students, assist in organizing school events to enrich the community's vibrancy, and help maintain disaster preparedness plans to ensure the safety of all students and staff. The assistant will also oversee student attendance records for accuracy and timeliness and provide support to foreign teachers with their living arrangements and integration into the local community.

Experience Requirements: You should have at least two years of administrative experience, preferably in an international school or office environment.
Educational Background: An associate's or bachelor’s degree in Communications, English, Japanese, Business, or a related field is required.
Operational Expertise: You possess a strong background in school operations, including resource procurement, event planning, marketing, and parent communication.
Legal Knowledge: You have a thorough understanding of Japanese visa systems and procedures.
Personal Qualities: You are curious, a lifelong learner, eager to embrace personal and professional growth. You are excited about the opportunity to contribute to the founding of a new campus and are prepared to actively shape our learning community's operations.

Technical Proficiency: You are proficient with IT and familiar with various programs and platforms including Microsoft Office, Adobe, ClassDojo, Google Classroom, Google Suite, Canva, and social media networks.
Attention to Detail: Your attention to detail is impeccable, and you possess excellent organizational skills.
Language Skills: You have native, bilingual, or professional working proficiency in both English and Japanese.

What We Offer:
Competitive Salary: Starting from 2,400,000 JPY per year, commensurate with experience and qualifications.

Key Responsibilities:
Staff Coordination: Serve as the line manager and primary point of contact for cleaning and kitchen staff.
Procurement: Handle materials and resource procurement to ensure the school is well-equipped.
Foreign Teacher Support: Assist foreign teachers with daily living adjustments and visa-related matters.
Communications and Marketing Support: Assist with school communications, marketing initiatives, and community liaison tasks including disaster preparedness and engagement with community organizations.
Student Health Support: Address student health needs by coordinating with parents for pick-ups during illnesses, checking temperatures, and supervising the sick bay.
Record Keeping: Maintain accurate student records including emergency contacts, medical information, vaccination records, and allergy details.
Parent and Visitor Interaction: Respond to general inquiries from parents and others via phone, email, or in-person, manage guest visits, and conduct tours for prospective families.
Regulatory Compliance: Ensure the school complies with local Japanese laws concerning fire codes, health codes, disaster preparedness, and school licensing.
Event and Logistics Planning: Assist with the planning and execution of school events, field trips, and outings.
Procedure Development: Collaborate with the Head of School and other staff members to develop and refine school procedures.
Handbook Development: Assist in developing and updating parent and staff handbooks.
Digital Content Management: Help maintain and update the school's website and manage social media accounts.
Translation Services: Provide Japanese/English translation as needed.
General Administrative Duties: Perform other related duties as assigned.
